Minutes for Execon Meeting on 20th Jan 2007:

Confirmation of minutes of last meeting
- Confirmed Minutes of the last Execon meeting held in Dec 2006 at Hotel President.

Sub-section Activities
- Mrs M A Joshi will take lead on the MTT (microwave theory techniques) Chapter formation and coordinate with Rajesh Ingle.
- Dinanath Kholkar informed about the event in DY Patil on Energy Conservation.
- Dinanath Kholkar informed about the Traffix solution concluding event which will be organized by Pravin Chopade in BVP for paper presentation and awarding the winners.
- Bharat Chaudhari mentioned about interest of Prasad Mahale (ex-Execon member) in Traffix solution and taking it forward.
- Prof. Khurjekar briefed about the talk of Prof. Dalal at PVG and VIIT. Was an official visit from IEEE Bombay Section. It was conveyed by Dr Doke that PES and IAS chapters of Bombay section will bear the overall cost of the visit.
- Mrs Joshi mentioned that the chapters can be localized and need not be attached to Section and Sub-section. This needs to be validated with the constitution. Mr Patel from Stanford who had come for MTT mentioned about some options. Sanjeevani Shah from Sinhagad Polytechnic would also be involved.
- Dinanath Kholkar mentioned about Dr Harrick Vin of TRDDC/TCS who is a distinguished lecturer of IEEE and his expertise is Data Intensive Computing. Prof. Khurjekar proposed that we can organize an IEEE event for Dr Vin to present to a wider audience.
- Prof. Agashe mentioned about an event organized by IM society chapter on 11th Jan 2007. He would send a copy of the report to Dina. A meeting of the members of the society will be convened by end of January. Copy of the IEEE Pune Sub-section members has to be sent to Dr Agashe
- Dr Chaudhari mentioned that he has reported all Sub-section activities on the IEEE site
www.ieee.org/l31 is the site where we need to update. Action item - We need to report AGM that was held in Dec. Need to send the list of new Execon members.
- VIIT will take ownership of the IEEE Pune Sub-section web-site. Prof. Khurjekar and Prof. Tavildar have supported the same. Prof Dandawate (9422331011) would be responsible for taking up the initiative.

Financial Help
- Request from COEP for Nexus. Execon approved Rs 5000/- to be sanctioned.
- Request of Rs 20,000/- from VIIT for Perception 2007. Execon has approved Rs 20000/-
- All the branch councilors need to provide their budget for 2007 in the next meeting on 24th Feb 2007.
- Any request for funding should be accompanied by a log of activities that have been under-taken by the branch for the last 1 year. Apart from the criteria of number of students per student branch, the Execon will also consider how active the branch is for sanctioning the funds.
- Mr Tagare proposed that we should make a request to the Bombay section for additional funds so that it can fit into their budgeting cycle. Arun and Dina to sync up on this and work out a budget based on the last year expenses and circulate to the Execon members.

Other Points discussed with permission of Chair
- Many student chapters are not taking their rebates. By first of May, student branches need to send the report of their activities for last year and they get rebate of $2 per student. On 1st of Nov the plan for the coming year should be presented to get a $50
- Mail has to be sent to all the Student branches to inform them about the rebates.
- Meeting for all the student branch councilors needs to be organized. Proposed date is 24th February and can be done before the Execon meeting.
- Arun Bahulkar proposed that every Execon member should take responsibility of tracking progress and mentoring of the Student Branches. A proposed list of colleges and their owners from the Execon will be sent out.
- Dinanath Kholkar recommended that we should look at options of recognizing Student Branch, Branch Councilors and Student reps for their outstanding contributions and have some awards institutionalized for the same.
