Log from EXECUTIVE COMMITTEE e-MEETING 30 January, 2007

<BrentB> hello everyone
<SteveC> Hi Lee, Brent, and Michael
*** Allen [~a.thomas@68-119-195-132.dhcp.spbg.sc.charter.com] has joined #sccoun
<BrentB> Richard called and said he would be a few minutes late
<MichaelR> Hello!
<Allen> Hello Everyone
<BrentB> Hello Allen
<Lee> Allen, looks like both of us did not go to Clemson tonight.
<Lee> Test
<Allen> Was there one of those newsworth party's tonight?
<Lee> Yes. Student Paper Contest and Piedmont Section meeting
<Allen> OH ! that probably won't make the news.
<SteveC> I thought you guys were talking about the basketball team.
<MichaelR> Did you pass the Exam, Brent??
<BrentB> Unfortunately, no.  Looks like I will be taking it again in October.
<MichaelR> What's on the menu?
<BrentB> Well, let's go ahead and get started...... any old business to discuss first of all?
<MichaelR> Would that include the questions I had last time?
<BrentB> Concerning what?
<MichaelR> Travel reinmbursement?   Professional contact hours?
<BrentB> Thanks for the reminder; Michael is bringing up the issue of travel reimbursement for council members to the face-to-face council meetings - is there any precedent for reimbursement for these?
<Lee> c
<BrentB> ga Lee
<Lee> The Thomas-Stogner foundation has always paid our way.
<BrentB> Is there any way I can tap into those funds?(j/k)
<BrentB> Seriously, should we consider utilizing this? If we did, then everyone would have to be re-imbursed no matter the distance.
*** Allen [~a.thomas@68-119-195-132.dhcp.spbg.sc.charter.com] has quit [Read error: Connection timed out]
<BrentB> Anyone have anything further to say concerning travel reimbursement?
<SteveC> Should we at least consider a fee for gas in lieu of mileage.  I only drive about 2 miles so it has not been an issue for me but I understand those coming from distances have expenses coming to Cola,
<BrentB> I don't have a problem with doing that as long as we maintain sufficient funding in our account(which we presently have plenty of).
*** Allen [~a.thomas@68-119-195-132.dhcp.spbg.sc.charter.com] has joined #sccoun
<Allen> Are we still connected?
<BrentB> What would be an appropriate fee?
<MichaelR> are you talking about a flat rate for all?
<Lee> c
<BrentB> ga Lee
<Lee> We are representing our Sections.  Maybe the Sections should provide millage.
<MichaelR> At some point doesn't the council get funds from the sections?
<MichaelR> I know there has not been any for several years but eventually there will be? Yes?
<SteveC> We waived the assessments after SECon 2002 because we had lots of funds.  Yes, I would expect to reinstate at some future date.
<MichaelR> The SC council is fortunate to have gotten funds from something else.
<Allen> c
<BrentB> ga Allen
<Allen> Do we know if other councils reimburse for expenses for excom meetings?
<MichaelR> R3 ex committee comes from R3 funds.
<Allen> c
<BrentB> I don't know.... maybe that is something I need to take as an action item to look into.  If they don't, then I like the suggestion Lee made concerning the Sections reimbursing the council members.
<BrentB> ga Allen
<Allen> You answered my question
<SteveC> May be a good question for discussion at SECon.  FL council has all day meetings and some fly in so I would expect they get some reimbursement.
<BrentB> Good point Steve.  Let's do that.
<BrentB> Concerning the professional contact hours,  was anything discussed at the Region 3 meetings concerning this Mike?
<MichaelR> Not that I remember. I did not get a chance to approach anyone about it.
<Allen> q
<BrentB> ga Allen
<Allen> Can you bring me up to date on the discussion?  Is this PDHs for SC PEs?
<BrentB> Yes it is.
<Allen> c
<BrentB> ga Allen
<MichaelR> yes. Some of the locals have used meeting attedance as PDH's.
<MichaelR> spelling is bad.
<Allen> The SC Code allows 1PDH for each contact hour for professional seminars and workshops ...
<Allen> It also allows 2 PDH units per orginazation with a maximum of 4 PDH units per year ...
<MichaelR> The question had to do with some type of official certificate.
<Allen> if the licensee is an office or actively particiopates in a committee of the organization ...
<Allen> or to attend 50% of a minimum of eight meeting per year.
<Allen> c
<BrentB> ga Alen
<MichaelR> Some of our members say credit is given for each meeting: 1 hour.
<Allen> I simply asked for copies of the sing in sheets at the meetings or kept a copy of the miutes of excom meetings...
<Allen> and submitted those to document my PDHs.
<MichaelR> Giving a copy of the sign-in sheet is the easiest way, probably.

<BrentB> Ok, does Steve or Lee have anything significant to report from the Region 3 meetings held last October?
<Lee> c
<BrentB> ga Lee

<BrentB> ga Allen
<Lee> As before, Membership Development is a big concern for Region 3
<Allen> Sorry guys. I keep getting kicked off the server. Any questions directed to me that I missed
<Lee> c
<BrentB> no Allen, Lee was just commenting on the Region 3 conference last October.
<Lee> c
<BrentB> ga Lee
<Lee> Allen, are you using the web interface or mIRC ?
<Allen> mIRC
<Lee> Use the web interface, it's more stable through Charter.
<Allen> OK thanks

<BrentB> Any other issues with Membership Development Lee?  I brought up the subject w/ the Columbia section chair at our last meeting, but they are having enough trouble just filling officer slots.
<MichaelR> As are WE!!!!
<Lee> I will have MD training at Southeastcon along with a lot of support during 2007.
<BrentB> With Southeastcon looming, do the sections help pay the way for students to this?
<Lee> R3 will pay for half.
<BrentB> So the students themselves pick up the rest of the tab?  Or does the university help out?  It has been a while since I went to Southeastcon as a student and I remember I had to pay some of the tab, but definitely not all.
<Lee> c
<BrentB> ga Lee
<Lee> Students ??  The training is for MD representatives from the Sections.
<BrentB> I'm talking about the students.  I was asking Steve about this at our last section meeting when one of the students brought up the fact that only a certain number could afford to go to the conference.
<Lee> c
<BrentB> ga Lee
<Lee> We are having two different discussions.  The training is for Section MD representatives.  Students usually go to Southeastcon as part of the student activities.  There are separate funds for that.
<BrentB> That is what I was asking about; I did not know what funding the students had for this conference.
<Lee> c
<BrentB> ga Lee
<Lee> Most students go to Southeastcon as part of the student Chapter.  Local student advisors have access to Dept funds.  Is this student an independent ?
<BrentB> I don't know; he seemed to be making a comment about students in general.
<BrentB> If there are funds set aside for them, however, I am not going to worry about them getting there.
<Lee> He should talk to his local advisor.
<BrentB> Concerning one other item of old business, Richard was going to look into the possibility of diverting some of our funds into a short term CD, but with his not being here, I don't know how he made out concerning this action item.
<Lee> c
<BrentB> ga Lee
<Lee> Don't forget to review the Minutes on the web site.  I have posted everything I received.
<BrentB> Yes, Steve, could you possibly cut and paste this meeting over to Richard so minutes can be taken from this?  I don't have access to e-mail at the present time on this computer.  I will update him as best I can as well.
<BrentB> Hello Steve, you out there?
<SteveC> I will copy and paste but I need Richard's E-mail address.  I don't have it in my address book here at home.
<BrentB> richard.l.baker@navy.mil
<BrentB> Concerning any new business.... when is Engineer's week this year?  Anyone have any plans for it?
<BrentB> Next item... I will have to get with Richard concerning the meeting reports being filled out and also fill out the Conflict of Interest Disclosure form.
<BrentB> Anything to report from our sections?  Columbia has a new chair and vice-chair, but no new secretary/treasurer.
<Lee> c
<BrentB> ga Lee
<MichaelR> Same officers as last year for the Central Savannah River
<MichaelR> Secr & Treas. still?empty?
<Lee> Everyone please review the Executive Committe portion of the Council web site.  I need updates and corrections.
<BrentB> Yes, Michael, they have slots available for secretary and treasurer.
<MichaelR> I was saying that we have no new Secr or treas!
<BrentB> Does anyone else have anything to report?
<Lee> x
<Lee> c
<BrentB> ga lee
<Lee> Who all will be at Southeastcon ?
<AllenT> I plan to attend.
<BrentB> I am tentatively planning on attending, dependant upon work.
<MichaelR> Is our meeting there on Friday evening?
<BrentB> yes
<SteveC> I will attend.  Can I get funding?
<Lee> I will attend. Maybe ride the train to Virginia.
<BrentB> I thought you said you were a member of the executive committee Steve.
<MichaelR> Planning to go as of right now.
<BrentB> If nothing else, you could probably represent the Columbia section?!?  I don't believe they will have anyone going.
<SteveC> The SC Council chair is on the ExCom - that's you Brent.  Past chairs have no standing.  I may be able to be funded by Cola.
<SteveC> You read my mind.
<BrentB> I thought you told me last week you were on the "Executive Committee" I must have misunderstood you.
<SteveC> I was on the Conference
<SteveC> committee but that expired with 2006...
<SteveC> I was representing SECon 2002 since Nancy defaulted and she was the chair.
<BrentB> oh, OK.
<BrentB> Anything else?
<MichaelR> Nothing here.
<Lee> Nope, help me find new Members.
<AllenT> Nothing from me.
<BrentB> Ok, I guess I will see you all at SouthEastCon.  Good night.
<MichaelR> Bye
<AllenT> See you in March.
<SteveC> ok
