AUTHOR'S KIT



To prepare and submit the final version of their papers to be included in the conference proceedings, the authors should perform ALL the subsequent activities:

  1. prepare the final manuscript

  2. prepare the printable version of the final manuscript

  3. prepare the abstract of the final manuscript

  4. prepare the copyright transfer form

  5. send the printable version and the electronic abstract of the final manuscript

  6. send the abstract of the final manuscript

  7. send the copyright transfer form



  1. Prepare the final version of the manuscript according to the guidelines given below. Please, follow them carefully. For your convenience, the guidelines are made available in the following formats:

    HTML: the guidelines in the HTML format to be read and printed directly from your network browser.

    RTF: the skeleton for your paper in RTF format with macros for Microsoft to be downloaded and used to type your manuscript to obtain the format.

    LATEX and LaTeX Hints: the LaTex macro style file to be downloaded and in your LaTex file to obtain the desired format, for 8.5x11-inch paper only. If you use A4 paper, you MUST cut the paper at 11-inch height before printing your paper.

    REMEMBER that the final electronic version of each paper CANNOT EXCEED 6 PAGES. NO EXCEPTION IS ALLOWED.




  2. The electronic version of the final manuscript must be generated to be used for the proceedings.

    From the final manuscript formatted as instructed above, you have to generate the electronic printable version in PDF format.

    If you do not have the Acrobat distiller plug-in for your word processor, you can generate a standard PostScript file (remember to select the maximum portability option in the postscript driver) and then convert it into the PDF format by using Acrobat Distiller.

    If you do not have the Acrobat Distiller, you can generate the PostScript file and then submit it to the Adobe web site for conversion. Please, follow the instructions provided by Adobe to achieve this goal.

    When generating the PDF file, be sure to click on Properties, Font Embedding and activate the "Embed All Fonts". This will guarantee to have a correct portability and printability on all printers.

    Name your PDF file with the paper identifier number and the last name of the contact author. For example, if the contact author is Dr. Smith and the paper identifier is 1035, the PDF file should be named 1035-Smith.PDF

  3. Prepare the electronic version of your abstract to be put both on the conference web site and in the CD-ROM proceedings, according to the following guidelines:

    HTML: the guidelines for the electronic abstract in the HTML format to be read and printed directly from your network browser.

    Name your text file containing the abstract with the paper identifier number and the last name of the contact author. For example, if the contact author is Dr. Smith and the paper identifier is 1035, the text file of the abstract should be named 1035-Smith.txt

    The text of the abstract MUST be included ALSO in the final manuscript, according to the instructions given in the preparation of the final manuscript.




  4. Fill in and sign the IEEE Copyright Transfer form. For your convenience, it is made available in various formats at IEEE Copyright Form Page.

    No signature is needed on the copyright transfer form if it is sent by email: your name and email address are considered equivalent to your signature.




  5. Send the final printable version and the electronic abstract of the final manuscript for inclusion in the proceedings by 29 MARCH 2002 (HARD DEADLINE!), to the IMTC Conference Secretariat.

    The electronic printable version of your manuscript must be sent electronically by using the conference ftp site. To this purpose, perform the following steps:

    • Start your preferred FTP client program.

    • Give the following information to your FTP client to connect to the conference ftp site:

      Hostname: gates.cogent.net
      Username: msimtc
      Password: gate8way

    • Issue the "Connect" command to connect your ftp client to the ftp site.

    • Select the PDF file containing your final manuscript to be transferred from your computer.

    • Issue the "Transfer" command to transfer the selected file from your computer to the ftp site.

    • Select the text file containing your electronic abstract to be transferred from your computer.

    • Issue the "Transfer" command to transfer the selected file from your computer to the ftp site.

    • Close the connection and leave your FTP client program.




  6. Send the signed Copyright Transfer form by 29 MARCH 2002 (HARD DEADLINE!), to the IMTC Conference Secretariat by email or fax:

    Remember that your paper cannot be included in the conference proceedings without the IEEE Copyright Transfer form (signed if it is submitted by fax).

INSTRUCTIONS FOR POSTER PRESENTATION

Poster papers will be mounted and may be viewed over a period of several hours prior to the poster session per se. Authors are expected to be in attendance during their designated poster sessions, which will be immediately after the oral sessions containing related papers.

The poster board and push pins for mounting the poster components on it will be provided by the workshop. All the poster components will be provided by the author(s).

The poster board will be 36 in (90 cm) horizontal by 48 in (120 cm) vertical; its usable area will be 36 in (90 cm) by 40 in (100 cm).

The heading should list the paper title (3 cm font), author(s) name(s) (2 cm font) and affiliation(s) (2 cm font). It should occupy the top 20 cm of the poster, across the full horizontal width of the poster board. It should be in bold face type and readable from a distance of 2 m.

A photograph (at least 7.5 cm x 5 cm) of the author(s) should be mounted near the top of the panel so viewers can identify the author(s) for conversation.

The abstract should summarize the pertinent results and conclusions.

The introduction should state the purpose of the work in relation to previous work in the field.

The results section should indicate the most important findings.

The conclusions should give the interpretation and the significance of the results.

The references to previous work may be appropriate.

The font size for the headings of the abstract, introduction, results, conclusions, references, and any other sections should be 2 cm, and the text and the captions for figures and graphs should be 0.8 cm. A small amount of highly specialized material that is intended to be read only by participants who are very interested in the poster may use a font size as small as 0.4 cm.

While the poster paper does require some text, e.g., in the abstract, conclusion and references sections, at least one-half of the poster area should be devoted to figures, graphs or photographs: the adage about one picture being worth 10,000 words is relevant in this case.

Authors are encouraged to check their poster's correctness via a trial run with their colleagues at their home institutions rather than seeing it for the first time at VIMS/2002.







INSTRUCTIONS FOR ORAL PRESENTATION

IMTC/02 will provide overhead projectors and screens in all session rooms for your presentations. The conference will not offer computer-operated projectors. The Hilton Hotel will allow presenters to use their own computer projectors if they bring them into the Hotel.
