IEEE Information Technology Department Staff (IEEE IT Staff) will be responsible for the overall system administration of the web server "ewh.ieee.org". Responsibilities include nightly system backups, setup and removal of user accounts and software installations.

Operational Backups, Hardware & Connections

Backups

IEEE Information Technology (IT) Staff is responsible for performing nightly tape backups of the web server "ewh.ieee.org". Tape backups will be performed 7 days a week. The backup is intended to provide a safeguard against a major system failure.

Each IEEE Section will have their own sub-directory on the web server and each Section webmaster is responsible to backup the content of their own sub-directories. In the case of a major system failure, IEEE is only responsible for bringing the system up to an operational status using the most recent data available. Each webmaster will be notified by the IEEE IT Department of such an event. Ultimately, it is the Section’s responsibility to restore their own data.

Hardware

IEEE is responsible for providing hardware maintenance support for the EWH machine. (Ignition). Hardware support is the physical computer and all its components. The hardware support will be part of the overall IEEE Hardware Support Maintenance Agreement. Coverage Response Time: Same Day Service – 4 hours after the hardware problem has been identified. For Same Day Service calls must be made during normal business hours (9:00am – 5:00pm), otherwise Next Day Service will be provided.

Connections

The EWH web server will be located on the external IEEE network. The IEEE IT Staff will monitor the connection of this server on the outside network and will correct any network problems if necessary.

Availability Window & Catastrophe Planning

The system will be available 24 hours a day, 7 days a week. In case of an emergency all webmasters will be notified via e-mail whenever possible. The IEEE IT Staff will work to correct any problems as soon as possible.

If routine maintenance is needed, such as software & hardware upgrades, etc., all webmasters will be notified 48 hours in advance and complete maintenance details will be provided including the expected down time of the system. Expect 4 outages (One per Quarter) a year.

Sign-up Procedures & Accounts Setup

To register for Entity Web Hosting, an entity must complete and submit the EWH registration form. This will be reviewed by the Regional Activities Department for eligibility - according to the established EWH rules.

All requests will be acknowledged within 5 business days. Accepted registrations will be assigned a user name, password and complete instructions for how to proceed.

New accounts, passwords and directories will be established within 10 business days. The RAD staff will maintain new accounts, passwords and directories. Due to expected volume, content monitoring will be minimal; however, IEEE reserves the right to prohibit inappropriate information.

Technical Support

IEEE is solely responsible for basic system operation, which includes backups, restores, software upgrades and creation and removal of user accounts. The entities willing to use the EWH web server are expected to choose a single webmaster that is skilled in managing web content. This webmaster will be the entity contact and the ONLY ONE authorized to post content to the web site. The webmaster will be expected to work with the IEEE staff to insure that the site security measures are effective.

IEEE will not provide web-posting support. IEEE will provide a majordomo list alias that will include all the webmasters using this service. This list will provide the webmasters with a mechanism that will allow them to exchange questions and ideas.
