AUTHOR'S KIT



To prepare and submit the final version of their papers to be included in the symposium proceedings, the authors should perform ALL the subsequent activities:

  1. prepare the final manuscript

  2. prepare the printable version of the final manuscript

  3. prepare the abstract of the final manuscript

  4. prepare the copyright transfer form

  5. send the printable version and the electronic abstract of the final manuscript

  6. send the copyright transfer form



  1. Prepare the the final version of the manuscript according to the guidelines given below. Please, follow them carefully. For your convenience, the guidelines are made available in the following formats:

    HTML: the guidelines in the HTML format to be read and printed directly from your network browser.

    RTF: the skeleton for your paper in RTF format with macros for Microsoft Word to be downloaded and used to type your manuscript to obtain the desired format.

    LATEX and LaTeX Hints: the LaTex macro style file to be downloaded and referenced in your LaTex file to obtain the desired format, for 8.5x11-inch paper only. If you use A4 paper, you MUST cut the paper at 11-inch height before printing your paper.

    REMIND that the final version of the papers in the camera-ready format given above CANNOT EXCEED 6 PAGES. NO EXCEPTION IS ALLOWED.




  2. Generate the final printable version of the paper for the symposium proceedings.


    The electronic version of the final manuscript must be generated to be used for the proceedings.

    From the final manuscript formatted as instructed above, you have to generate the electronic printable version in PDF format. If you have not the Acrobat distiller plug-in for your word processor, you can generate a standard PostScript file (remind to select the maximum portability option in the postscript driver) and then convert it into the PDF format by using Acrobat Distiller.

    When generating the PDF file, be sure to click on Properties, Font Embedding and activate the "Embed All Fonts". This will guarantee to have a correct portability and printability on all printers.

    Name your PDF file with the paper identifier and the last name of the contact author. For example, if the contact author is Dr. Smith and the paper identifier is 35, the PDF file should be named 35-Smith.PDF

  3. Prepare the electronic version of your abstract to be put both on the symposium web site and in the CD-ROM proceedings, according to the following guidelines:

    HTML: the guidelines for the electronic abstract in the HTML format to be read and printed directly from your network browser.

    Name your text file containing the abstract with the paper identifier and the last name of the contact author. For example, if the contact author is Dr. Smith and the paper identifier is 35, the text file of the abstract should be named 35-Smith.txt

    The text of the abstract MUST be included ALSO in the final manuscript, according to the instructions given in the preparation of the final manuscript.




  4. Fill in and sign the IEEE Copyright Transfer form. For your convenience, it is made available in various formats at IEEE Copyright Form Page.

    No signature is needed on the copyright transfer form if it is sent by email: your email address is considered equivalent to your signature.




  5. Send the final printable version and the electronic abstract of the final manuscript for inclusion in the proceedings by 31 MARCH 2002 (HARD DEADLINE!), to the symposium secretariat.

    The electronic printable version of your manuscript must be sent electronically by email to Lee Myers at lee.myers@ieee.org



  6. Send the signed Copyright Transfer form by 31 MARCH 2002 (HARD DEADLINE!), to the symposium secretariat by email or fax:

    Remind that your paper cannot be included in the symposium proceedings without the IEEE Copyright Transfer form (signed if it is submitted by fax).

For your convenience, the status of the publication material for each accepted paper (final manuscript, copyright, covering registration, registration payment) received and processed by the VIMS Symposium coordinator is shown here.

The above list will be updated periodically. Check the date of the last update before contacting the VIMS Symposium Coordinator and wait for a few working days after your request to allow for its processing.
